Job title: Business Admin and Sales Support Officer

Reporting to: Operations Officer

Hours: 1.0 FTE (4 day working week)

Location: Hybrid (3 days minimum in Sunbury Office)

Salary: $71,361 - $77,978 (1 year fixed term)

Purpose of the position

The role of the Business Admin and Sales Support Officer involves providing administrative and sales support to Ilan Style, First 1000 Days and Karabena Consulting. This is a role that interacts with several departments internally.

Responsibilities and duties

Ilan Style

  • Handling administrative tasks related to the sales process.

  • Ensure accurate and up-to-date records in relevant spreadsheets and CRM system.

  • Address customer inquiries and provide information about products.

  • Creating relationships and networks.

  • Collaborate with the Managing Director, Operations Officer, Marketing Manager, and other teams to enhance the overall customer experience of Ilan Style.

  • Be responsible for stock count of Ilan Style tea and other products and track this in the relevant area and advise of stock reordering requirements.

  • Fulfill Ilan Style Tea orders within a reasonable time.

  • Assist in any tradeshows or stalls when required, including set up and pack down.

Administration

  • Diary and Travel Management for Managing Director and relevant staff

  • Quoting for facilitation, speeches, presentations and conferences

  • General Admin including note taking and meeting minutes, printing, creating invites, organising workshops (including catering), organising materials.

  • Organising any workshops and catering for Karabena Consulting projects

  • Keeping spreadsheets up to date and notifying finance department of Invoicing arrangements.

  • Cleaning up of otter transcripts when required

  • Support for project management in Basecamp

  • Social Media strategy administration.

  • Meeting minutes.

  • Database management through Hubspot.

  • Assist CPD accreditation reporting process for the F1000DA online course

  • Assist in the organisation of events including venue and catering requirements, packing up of bags First 1000 Days bags, printing of booklets.

  • Any other administration tasks as allocated by Operations Officer or Managing Director.

Operations

  • Managing office supplies- product research, goods, services and equipment

  • Meeting minutes for Operations meeting

  • Manage the image bank and consent forms processes

  • Ensure operational information is stored in Basecamp

  • Manage relevant subscriptions, and other recurring payments

  • Coordinate organisational events such as strategic planning days, Lunch and Learn

Responsibilities and duties will change as the business needs and projects change; however, this will be discussed between the employee and manager.
